    Inovalon is seeking a highly qualified Executive Assistant to support members our executive leadership team. The ideal professional will be responsible for handling telephone calls, maintaining calendars and meeting coordination and support Inovalon’s leaders create a footprint in the industry through hard work, high energy, and innovative thinking.

     

     

    Responsibilities

    • Support executive management of the company in such aspects as:  document management, construction,  preparation, editing, assembly, etc.) communications (phone, facsimile, written, email, and otherwise) travel arrangements, and other support;
    • Act as executive liaison with internal and external clients and contacts.  Interpret, communicate, and direct information appropriately;
    • Support the department personnel and the administration and management of department's MedNet content.;
    • Plan complex detailed travel plans and itineraries, compiles documents for travel related meetings and prepare expense reports, and purchase requisitions;
    • Arrange programs, events, and conferences. Manages executive's calendar  and independently schedules appointments; and
    • Assists with PowerPoint presentations and other duties as assigned supporting other administrative functional areas as necessary.

    In addition to the above duties, this position requires a higher level of support including the ability to handle more complex inquires and resolution of moderate complex issues.    

     

    • Performs high level, confidential complex administrative duties and manage specialized projects for the C Level Executive and management team in addition to acting in support of project initiatives on specialized tasks;
    • The candidate provides analytical and specialized administrative support which includes advanced calendar and email management; international and domestic travel planning, and internal and external meeting coordination;
    • The successful candidate will draft and finalize correspondence, reports, meeting minutes and other critical highly sensitive communications;
    • Proactively reviews email communications and other request within the business identifying actions requiring the Executive leaders attention/responses with highlighted timeframes and deliverables;  Prioritizes work for executives;
    • As a delegated designee may respond on behalf of the executive within the prescribed parameters.  Continually identifies opportunities to streamline functional activities while enabling the executive to focus on the strategic and business initiatives rather than functional logistics; 
    • Take-charge individual that anticipates needs and works ahead of the executive and his/her team to keep them on point;
    • Maintains important and confidential records electronic and hard copy for maximum utilization; Organize and coordinate project meetings;and
    • Collaborate with administrative staff to ensure coordination of EA and AA administrative support.

    Qualifications

    • Associate's degree and/or 5 years of Administrative/Executive level support experience;
    • Strong calendar management skills including the ability to schedule moderately complex executive meetings utilizing Microsoft outlook and internal software,  Strong organizational, time management, and written/oral communication skills; 
    • Strong computer skills;
    • Attends senior level meetings, records, interprets, drafts, and distributes (pending approval) correspondences;
    • Ability to build and maintain internal and external business relationships;
    • 2 - 3 years experience as an Executive Assistant for C-Level Management or other Executive Leaders;
    • 5 years’ experience supporting a high-level executive preferably at a publicly traded company;and
    • Aptitude for organization.
