    Inovalon is a leading healthcare data analytics company, is currently seeking a full time Administrative Assistant II to support our management team in our Nashville, TN CCS office.  The Administrative Assistant II is responsible for handling telephone calls, maintaining personnel calendars and meeting coordination.  The individual in this role must possess excellent customer service skills and enjoy working with people.

    Responsibilities

    • Provides office support for a department and related support services, program or administrative unit and also has primary responsibility for coordinating an important department/business unit function;
    • Experience in travel booking, expense reconciliation and report creation;
    • Facilitate the leveraging of senior management time by providing technical and higher level of administrative support;
    • Support the office and management staff with regard to such aspects as communications (phone, facsimile, written, e-mail, and otherwise), travel arrangements, document management, and other such report;
    • Responsible for travel booking, expense reconciliation and report creation;
    • Facilitate the leveraging of senior management time by providing technical and administrative support;
    • Handle telephone calls, internal and external communications, meeting arrangements, and assigned tasks (often involving complex messages and/or directors) in a professional, courteous, efficient manner;
    • Maintain efficient filing (electronic and paper) of all materials in an organized and timely manner such that such materials can be reliably and readily located at all times and maintain the highest level of confidentiality, discretion, ethical conduct, and professionalism with regard to Company and client information;
    • Collaborate with administrative staff in an effort to ensure coordination of executive/administrative support functions across the support team as needed which includes backup support of each other;
    • Ability to work well with all levels of internal management and staff, outside clients and vendors, and be a welcoming, forward-thinking, and self-motivated individual;
    • Opens, sorts, and distributes incoming correspondence, invoices and project related documents in a timely manner;
    • Coordinate lunches and food for on-site client business meetings;
    • Support management and department personnel with regard to such aspects as document management (construction, manipulation, preparation, editing, assembly, etc.), communications (phone, facsimile, written, e-mail, and otherwise), travel arrangements, and other such support;
    • Maintain personnel calendars to ensure a smooth flow of activities and efficient use of time;
    • Schedule, coordinate, and prepare internal and external meetings, appointments, travel, itineraries, and associated accommodations for all personnel (office-based and field-based);
    • Achieve a proficient level of knowledge regarding products, services, infrastructure, and operations of the Company to achieve optimal insight into the Company’s product development, capabilities, support, and functionality requirements; and
    • Support and monitor the development and maintenance of a robust Company database of current, past, and potential customers, industry contacts, and other parties of interest for use with Company communications, business development, and general market awareness initiatives.

    Qualifications

    • Five years related administrative office experience required;
    • Experience in customer service;
    • Demonstrated ability to multitask in a dynamic, changing environment desired;
    • Attention to detail;
    • Demonstrated proficiency in Microsoft Office, internet and email;
    • Ability to prioritize work in a fast paced and constantly changing environment;
    • Demonstrated ability to work as a team player, and collaborate with colleagues;
    • Effective verbal, written, and listening communication skills; and
    • Effective problem solving skills.
