The Director Real Estate & Facilities is responsible for overall real estate and facilities planning, operations, energy management, facilities and office maintenance. This position provides leadership in the planning and design for new or renovated facilities and the overall project management of facility modification and space. This job reports to the Senior Vice President of Operations and will be responsible for facility, travel, logistics, and services management analysis and policy. It is the primary responsibility of the Director Real Estate & Facilities to provide strategic leadership, direction, administration and operation of the Facilities Management Department.  All duties are to be performed in accordance with departmental policies, practice and procedures. 

Responsibilities

  • Provide strategic direction on all real estate holdings and develop a long term real estate plan for Inovalon in accordance with our 3 -5 year plans;
  • Track all real estate leases and occupancy rates and make recommendations on appropriate consolidation/expansion where appropriate;
  • Provide support and direction on all acquisitions from a real estate perspective;
  • Develop and maintain facilities long-range plans, strategies, policies and procedures, renovation projects, scheduling labor and materials, budgets, KPIs and metrics;
  • Provide leadership for the facilities department including all building systems, safety and security, space planning, designated maintenance, emergency response team, services support and project management;
  • Direct the facilities maintenance and operation of all designated equipment and services management for corporate headquarters as well as several remote-site locations.  This may include refrigeration and air conditioning, the fire alarm system, primary and secondary power systems, internal/external utilities and emergency generators;
  • Oversee projects from beginning to end to ensure project is on time and within budget and meets or exceeds standards; monitor and maintain a program of regular inspection of facilities, equipment and systems;
  • Manage relationships with internal and external stakeholders and business partners. Ensure compliance with all standards including customer service, vendor relationships, and department collaboration. Review all vendor agreements to ensure competitive bidding and value added negotiation;
  • Collaborate with consultant services, contractors, and public entities such as utilities and fire to identify, plan and monitor all scope aspects of project work;
  • Develop procedures to ensure collection of necessary technical data and preparation of justifications to support budget approval for major equipment purchases, energy conservation measures, deferred maintenance needs, special improvements and complete facility renovation or upgrading;
  • Evaluate and provide recommendations regarding highly complex facilities operations policies or issues with respective senior leaders;
  • Participate in the development of budgetary planning. Administer budget and monitor and control expenditures for areas of responsibility;
  • Develop and mentor facilities team through on-boarding, open communication, training and development opportunities and performance management processes; build and maintain employee morale and motivation; ensure the team is appropriately staffed with required competencies; and that proper safety training is provided and safety requirements and procedures are followed;
  • Develop and ensure service level agreements are established as well as preventive maintenance and productivity schedules using system data to produce productivity reports to maximize capabilities of facilities and services; and keep abreast of industry trends;
  • Maintain compliance with Inovalon’s policies, procedures and mission statement;
  • Adhere to all confidentiality and HIPAA requirements as outlined within Inovalon’s Operating Policies and Procedures in all ways and at all times with respect to any aspect of the data handled or services rendered in the undertaking of the position; and
  • Fulfill those responsibilities and/or duties that may be reasonably provided by Inovalon for the purpose of achieving operational and financial success of the Company.

Qualifications

  • Minimum 10 years of experience with at least 5 years of experience managing multiple locations and diverse teams. Real estate, property management or operational experience  is preferred;
  • Proven experience in policy and or regulatory background in a real estate, property management or a public organization;
  • In-depth knowledge of facilities planning, design and construction; facilities or real estate management; utilities operation and management;
  • Progressive leadership and coaching experience with evidence of success at engaging multi-functional teams to aspire to a high standard of customer service;
  • In depth knowledge of building automation and computerized maintenance management systems;
  • Knowledgeable of management techniques, including record keeping, reporting, budgeting process, inventory control and cost, effective financial management and performance analyses;
  • Ability to plan, organize ,and delegate work in order to control a variety of projects simultaneously and the adaptability to cope with changing facilities standards, procedures and requirements;
  • Demonstrated experience presenting clearly to and interacting with all levels of the organization and external vendors and service personnel with and expertise in relationship building; and
  • Excellent verbal, written, and oral communication skills.
